Personal Data In Brief:

  • Knuston stores basic customer details of those who have enrolled or intend to enrol on courses, talks and events.Personal data is stored within a pass-word protected database called TERMS.
  • The data is used for very specific, focused purposes.
  • Personal information provided by customers, such as an email or postal address or phone number is regularly used to communicate with those customers.
  • All information on TERMS comes to us directly from the customer when they initially express an interest in our courses, talks and events.
  • The data remains the customers’ own data, therefore the customer can have it removed, amended or added to at any time, subject to other legal reasons such as ’audit requirements’.
  • We don’t do anything else with the personal information. 

Customers’ Personal Information: Its storage and use:

All customers’ personal data that we have at Knuston Hall has been received directly from the customer. Some or all of the following could be provided by the customer:

  • full name
  • postal address
  • email address
  • phone number(s)
  • details of courses attended
  • special information (eg: special diet, mobility issues)

All information is stored within a secure, password-protected database called TERMS. When an enrolment is made, the details already on the database or the data supplied during that booking process will be used and stored if both parties agree.

At any time, a customer can contact us to update their details, amend their details or ask for their immediate removal from the database. For audit purposes, evidence of financial transactions need to be retained for 6 years.

Knuston may communicate with customers to:

  • keep them up to date with the full range of future courses, talks, learning events and activities that are taking place.
  • provide information requested by a customer, tutor or colleague
  • contact a customer to arrange an enrolment and/or a payment
  • send out promotional material, newsletters, course details relating to Knuston courses, talks and events

During May 2018, communications took place between Knuston and all customers who receive the newsletter ‘Knuston News’. As a result of this communication, a number of customers unsubscribed from that Newsletter.

With whom will we share your information?

Course Brochure: When we send you a copy of our six-monthly course brochure, your name and address will be passed to a local charity who liaise with Royal Mail who carry out the posting of the brochures for us. We have strong links with this local charity and have discussed how this charity carries out these tasks. We have a copy of their Data Protection documentation.

Course Tutors: Between booking a course and attending it, there may be occasions when a tutor needs to contact the customers. Whilst the Knuston office would regularly deal with this on behalf of the tutor, some tutors do interact using customers’ personal details provided to the tutor directly by the customer.

Tutors personal details are also stored in the same way within the secure password-protected database. Customers requesting contact details of a tutor will only receive details if that particular tutor has given specific permission for the office to pass specific details to customers.

Data Retention Period

Personal information is retained for a period that includes 6 full financial years for audit purposes.
